Bulk Description Generator

Master the advanced bulk description generator with HTML output and approval workflows.

The Bulk Description Generator is the most advanced tool in the AI Product Tools suite. It is designed for store owners who need to generate high-quality, HTML-formatted descriptions for hundreds or even thousands of products at once, while maintaining full control over the final output.

This tool is perfect for seasonal updates, launching new collections, or refreshing your entire store's content to improve SEO and conversion rates. You can access this tool by navigating to AI Product Tools > Bulk Operations > Description Generator.

Interface Overview

The generator interface is designed to be powerful yet easy to navigate. It is divided into three main tabs, each serving a specific purpose in your content creation workflow.

1. Products Tab

This is where you spend most of your time. It contains the product selection grid and the powerful toolbar where you configure your generation settings. You can filter products, select them in bulk, and start the generation process from here.

2. History Tab

Every generation you perform is recorded here. You can view past batches, see when they were created, and check how many products were processed in each session. This is great for tracking your work and seeing which products were updated in previous sessions.

3. Settings Tab

This tab provides a quick link to the main plugin settings page. While the toolbar handles session-specific settings, the main settings page is where you configure your AI providers, API keys, and global prompt templates that apply to all generations.

Selecting Your Products

The product grid allows you to choose exactly which items you want to enhance. You can select products individually using the checkboxes, or use the bulk selection tools to pick entire categories or statuses.

Each product in the list shows:

  • Thumbnail Image: Helps you quickly identify the product visually.
  • Product Name: The current title of the product in WooCommerce.
  • Current Status: Shows if the product is Published, a Draft, or Private.
  • Content Indicators: Small icons that show if a description, short description, or tags already exist for that product. This helps you avoid overwriting content you want to keep.

Configuring the Toolbar

The floating toolbar at the top of the Products tab is where you define how the AI should write your descriptions. These settings apply to all products selected in the current batch.

AI Provider and Model

  • Provider: Choose between OpenAI, Gemini, OpenRouter, or Claude. Each provider has its own strengths and pricing.
  • Model: Select the specific AI model. More advanced models (like GPT-4o or Claude 3.5 Sonnet) generally produce higher quality, more natural-sounding results but may use more credits. Smaller models are faster and cheaper.

Content Style and Language

  • Language: Choose from over 30 supported languages. The AI will write the description natively in your chosen language, ensuring correct grammar and cultural nuances.
  • Writing Style: Select a tone that matches your brand. Options include:
    • Professional: Authoritative and clear.
    • Encouraging: Friendly and persuasive.
    • Technical: Focused on specs and details.
    • Casual: Relaxed and conversational.

Content Length and Detail

  • Content Length: Choose from presets like Short (Brief/Standard/Detailed) or Full (Short/Medium/Long/Very Long). This tells the AI how much detail to include in the main description.
  • Max Tags Count: Decide how many SEO tags the AI should suggest for each product. We recommend between 5 and 10 for most products.

Generation Options

Before you start, you can fine-tune exactly what the AI should generate and how it should handle existing content. These options give you granular control over your catalog.

  • Short Description: Generate the brief summary text that usually appears near the product image.
  • Full Description: Generate the main product content with HTML formatting.
  • Tags: Generate a list of relevant product tags for search and navigation.
  • Improve Existing: This is a powerful feature. If a product already has a description, the AI will read it and rewrite it to be better, rather than starting from scratch. It preserves your facts while improving the writing.
  • Keep Existing: If you don't want to replace your current content, you can choose to place the new AI content either Before or After your current description.

Advanced Settings

  • Generation Interval: Set a delay (0-60 seconds) between each product. This is helpful for avoiding "Rate Limit" errors with some AI providers, especially on free or lower-tier API accounts.
  • Auto-Approve: If you trust the AI completely or are processing a very large number of products, you can enable this to skip the review step and apply content directly to your products.

The Generation Workflow

Creating content in bulk follows a simple, logical process that ensures quality and accuracy:

  1. Select Products: Check the boxes for the products you want to process. Use the category filters to work on one group at a time.
  2. Configure Settings: Use the toolbar to set your language, style, and model. Double-check your length settings.
  3. Start Generation: Click the "Generate (X)" button. A progress bar will appear at the top, showing you the status of the batch in real-time. You can leave the page and come back later; the process will continue in the background.
  4. Review Pending Results: Once finished, the products will move to a "Pending" state. You can click on each product row to open a preview window and see exactly what the AI wrote.
  5. Approve or Reject: You can approve results individually if they look good, or reject them if you want to try again with different settings. You can also use bulk actions to approve the entire batch at once.
  6. Content Applied: Approved content is immediately written to your WooCommerce product fields. Your store is now updated!

Troubleshooting Common Bulk Issues

Batch Stops Midway

If the progress bar stops moving or you see an error message:

  1. Check Rate Limits: Your AI provider might have a limit on how many requests you can make per minute. Increase the "Generation Interval" in the toolbar to 10 or 20 seconds and try again.
  2. Check Credits: Ensure you haven't run out of credits in your AI Product Tools account. You can check your balance on the main dashboard.
  3. Server Timeout: Some web hosts have short timeout limits for background processes. Try processing smaller batches (e.g., 20 products at a time) instead of 100.
  4. API Key Issues: Verify that your API key is still active and has sufficient funds on the provider's side (e.g., your OpenAI billing account).

Content Not Appearing

If you approved a product but the description didn't update:

  1. Refresh the Page: Sometimes the WooCommerce editor or your browser needs a refresh to show the new content.
  2. Check Drafts: If you have a caching plugin (like WP Rocket or W3 Total Cache), it might be showing you an old version of the product page. Clear your site cache.
  3. Database Errors: In rare cases, a database issue might prevent saving. Check your site's error logs if this happens repeatedly.

Poor Quality Results

If the AI is writing generic or irrelevant content:

  1. Disable "Improve Existing": If your current descriptions are very poor or contain incorrect data, the AI might be trying too hard to follow them. Try a fresh generation instead.
  2. Check Attributes: Ensure your products have attributes like "Brand," "Material," or "Features" filled in. The AI needs this data to write specific descriptions.
  3. Adjust Prompts: Go to the main settings and refine your global prompts to give the AI better instructions for your specific niche.

Best Practices for Bulk Generation

  • Start Small: Always run a test batch of 3-5 products before starting a batch of 100. This lets you verify that your style, tone, and length settings are exactly what you want.
  • Use the Review Queue: Don't use "Auto-Approve" for your most important products. The review queue is a powerful way to ensure every word on your store is perfect and matches your brand voice.
  • Leverage "Improve Existing": This is the best way to update a store that already has content. It keeps your original facts but makes the writing more professional, engaging, and SEO-friendly.
  • Monitor Your Credits: Keep an eye on your credit balance on the dashboard. Large batches can use credits quickly, especially if you are generating descriptions, short descriptions, and tags all at once.
  • Work by Category: It is often easier to set a consistent tone if you work on one category at a time (e.g., all "Shoes" first, then all "Hats").

Complete End-to-End Example: Refreshing a Category

Imagine you want to update your "Summer Collection" for the new season:

  1. Select Category: You go to the Products tab and filter by the "Summer Collection" category.
  2. Select All: You click the checkbox at the top to select all 45 products in that category.
  3. Set Style: You choose the "Encouraging" writing style and "Medium" length. You select OpenAI's GPT-4o model for the best quality.
  4. Configure Options: You check "Full Description" and "Tags," and enable "Improve Existing" to keep your current product specs.
  5. Start Batch: You click "Generate (45)."
  6. Review: After about 5 minutes, the batch is done. You go through the pending list. You see that 40 look perfect, but 5 need a small tweak because the AI mentioned a feature you no longer offer.
  7. Edit and Approve: You click the edit icon on those 5, fix the small detail in the preview window, and then click "Bulk Approve All."
  8. Done: Your entire Summer Collection now has fresh, high-quality, SEO-optimized descriptions and tags. Your store looks professional and is ready for the summer rush!
